Meals:

Which meals are included in the conference price?
Refreshments will be served at regular intervals during the conference. The registration price includes a buffet lunch on both days.

Venue and Accommodation:

Does the conference fee include my accommodation?
No, you will need to organise your own overnight accommodation for the conference. Where possible, we would recommend staying at the hotel that the conference is hosted at, for convenience.

How can I get to the venue?

Where can I get assistance with finding accommodation:

Visa Applications:

Will you provide a letter of invitation for my visa application?
After registering and paying in full, we will supply you with a letter of invitation to take to the embassy. However, we do not take responsibility for arranging your visa or if the embassy rejects your application.

Payment:

How can I pay?
We accept all major credit cards at the time of registering: online, by fax or over the phone.
Alternatively, you can ask to be invoiced for payment. We will then reserve your place and send an invoice to you with a purchase order number and full instructions for how to pay by either bank transfer, cheque or credit card. Please call our Customer Service team on 0207 878 6888 for any assistance and please be sure to include your Purchase Order Number when paying so that we can allocate it correctly.

When should I pay for the conference?
Payment is due in full upon your registration. Full payment must be received prior to the event otherwise entry will be denied.

Cancellations & Remunerations:

What if I miss the conference?
If you paid for the conference, we can send you a copy of the conference binder on your request. Please contact our Customer Service Department or email registrations@C5-Online.com to request your copy. You will receive your binder within 4 weeks after the event.

Will I receive a refund if I have already paid my delegate fee in full?
If you wish to cancel, please notify C5 in writing no later than 10 days prior to the conference date and a credit voucher will be issued to you for the full amount paid, redeemable against any other C5 conference. If you prefer, you may request a refund of fees paid less a 25% service charge. No credits or refunds will be given for cancellations received after 10 days prior to the conference date. C5 reserves the right to cancel any conference for any reason and will not be responsible for airfare, hotel or any other costs incurred by attendees. No liability is assumed by C5 for changes in program date, content, speakers or venue.

If I am unable to attend the conference, will I be able to send a substitute in my place?
Yes, you must notify us by email at least 48 hours in advance if you wish to send a substitute participant. Delegates may not "share" a pass between multiple attendees without prior authorization.

Day of Conference:

How many attendees will be at my conference?
This varies for each conference. Please do ask at our registration desk if you would like us to assist in facilitating meetings with anyone present to ensure you receive maximum benefit from the day.

When do I need to register by on the day of the conference?
It is recommended that you arrive 1 hour to 30 min before the start of the conference to register. You will then receive your documentation and badge.

Will the presentations be provided in both Russian and English for Russia/CIS related events?
At these events, particular speaker presentations will be in Russian with simultaneous translation provided. Where possible, post conference materials will also be supplied in Russian and in English.

When should I expect to receive the conference materials/documentation?
Conference participants will receive a comprehensive set of conference materials prepared by the speakers. These may be in printed format, or on CD-ROM. These materials are intended to provide the participants with a reference source for use after the conference. Materials will be distributed commencing 1 hour prior to the conference. If however you are hearing/visually impaired special arrangements can be made.

English is not my first language. Will there be interpreters at this conference?
Our Western European conferences are held in English. If you require interpretation facilities please let us know in advance.

What is the expected dress code?
The dress code at all our events is business/casual. Rooms may be air conditioned and bringing a jacket you can wear is advised.

Can I request a delegate list?
Delegate list are only available to sponsors, speakers and exhibitors, prior to special arrangement with C5. However on the day a list of all attendees will be available.
